[JOB VACANCY] – INCHAM OPERATION & EVENT MANAGER AND OFFICE SECRETARY

We are looking for an Operation & Event Manager and Office Secretary with a “can-do” attitude to assist our organization with operations in HCM city.

JOB DESCRIPTION

OPERATION & EVENT MANAGER

Responsibilities

  • Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, and overseeing supplies and equipment.
  • Oversee day-to-day office activities as main point of contact in reception area, and keep management informed regularly.
  • Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems;
  • Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships.
  • Working with various government departments, negotiating with various parties, giving problem solutions.
  • Planning, budgeting, executing & supervising the chamber’s activities/ events.

Required skills and qualifications.

  • Two or more years of experience in office management/event management.
  • English fluency is a must.
  • Strong time-management, negotiation and team management skills, high degree of flexibility, and excellent multitasking ability
  • Ability to maintain confidentiality of organization information.

Preferred skills and qualifications

  • Bachelor’s degree or equivalent
  • Proficient in MS Office & experience with online platforms
  • Having working experience at Business Chamber/ Association is a plus.

 

OFFICE SECRETARY (ADMIN + ACCOUNTING)

Responsibilities:

  • Administration: Handling basic office tasks, such as answering emails and phone calls, ordering and storing office supplies, equipment.
  • Board Support and Coordination: Providing administrative and secretarial support to the Board.
  • Financial and Bookkeeping tasks: Monitoring costs and expenses for budget preparation, payroll and other payments, preparing invoices, managing pending payments.
  • Membership Management: Processing and onboarding new members, maintaining up-to-date membership information, and managing communication and coordination regarding membership types and sharing fees.
  • Human Resources Administration: Updating on annual leave, staff information, and documentation.
  • Work with vendors and suppliers.
  • Support to organize chamber’s events.

Required education and work experience:

  • Freshers are welcome or have 1–2-year experience as an administrator/accountant.
  • Strong accounting background (Graduated from accounting or finance fields).
  • Proficient in MS Office, especially MS Excel.
  • English fluency is a must.
  • Having working experience at Business Chamber/ Association is a plus.

Required soft skills:

  • Good time management.
  • Good interpersonal skills.
  • Detailed, accurate and proactive.
  • Excellent organizational and multitasking abilities
  • Familiarity with organizing events is a plus.
